This policy explains what information the Sitech app collects, why, how long it's kept, and how you can ask for it to be deleted. Sitech is a crew-management tool used by trade and construction businesses (electricians, plumbers, carpenters and other trades) to run time tracking, task assignment, team communication and site coordination for their own workers.
Sitech is operated by Sitech Software ("Sitech," "we," "us"). If your employer or the business you work for has given you access to Sitech, that business ("the Company") controls the workspace you're using; Sitech provides the platform it runs on.
This policy covers everyone who uses the Sitech app or the Sitech website that it wraps - workers, site managers, and company admins - across every business ("tenant") that runs on the Sitech platform. Each subscribing business's data (projects, crew, chat, rates) is kept completely separate from every other business on the platform; nothing about your workspace is visible to any other company using Sitech.

AI and voice assistance. A few conveniences process data outside Sitech's own systems:
- Photo task suggestions: when you attach a photo while logging a task, the app sends
that photo to Anthropic (the provider of the Claude AI models) to suggest a task description, which
you can accept or ignore.
- Day summaries: when you finish a work day, the app sends that day's task list (task
type, level and unit, duration, status and your comments - never your pay) to Anthropic to write a
short summary for you.
- Voice dictation: typing a comment by voice uses your device's or browser's own speech
recognition service (on Android, usually provided by Google) to turn speech into text. Sitech keeps
only the text you save.
- Written-up notes and messages: anywhere the app lets you write something - a task
comment, a problem report, the office's decision on one, an installation's comment thread, a chat
message, a note on an assignment, the reason for a leave request or a question about your pay - you
can dictate it instead of typing it. The app then sends that text to Anthropic, which writes it up as
a short note in your Company's own language; where the text belongs to a particular task, the task
type, unit and level go with it, and your pay never does. It is only ever a suggestion: nothing is
saved until you accept it, and on a task comment both the written-up note and your own original words
are kept. This needs a working connection, so nothing is sent - and nothing is recorded - when you
are offline or the signal is too weak.
- Live translation: when someone in your Company reads a chat message, task comment,
issue report or its status note, assignment note or leave reason written in a different language,
the app sends that text - only the text, not who wrote it or which project it belongs to - to
Anthropic to translate it into the reader's language. Texts are never sent to translate them for
the person who wrote them. Each translation is kept in a shared translation store for up to 180
days so the same text isn't translated twice; that store holds only a fingerprint of the original
text and its translation, is not linked to any person, company or project, and cannot be read by
the app directly. Your phone also keeps the translations it has shown you, so they still appear
without signal.
Anthropic processes this data only to send the result back to the app and does not use it to train its models.
Enquiries through our website. If you use the form on sitechsoftware.com, the details you enter (name, company, email, phone if given, trade, crew size and message) are emailed to us and used only to reply to your enquiry.
We do not collect health data, financial account details, browsing history, or your phone's contact list. The in-app crew contact list uses phone numbers stored in Sitech, not your device's address book.
Location pings are automatically deleted after 30 days. This isn't a policy we're promising to try to follow - it's enforced by an automated nightly job on the database itself, not a manual process, so it happens reliably regardless of app usage.
Photos, messages, voice messages, task and timesheet records (including site arrival and departure records), and usage logs are kept for as long as your Company keeps its account active, since these form part of your employer's operational and business records (timesheets in particular may need to be kept longer to meet employment record-keeping obligations). If your Company closes its Sitech account, its data is deleted or de-identified within 365 days of closure.
Translations (see "Live translation" above) are deleted automatically after 180 days; the original text stays with your Company's records as described above.
Your account itself is kept until you or your Company requests its deletion (see Section 6), or until your Company removes you as a worker.
Within your Company: admins and managers can see the data your role makes visible to them (e.g. your name, timesheets, task activity, and - only if you've opted in - your live location). Chat is scoped to the channels you're actually a member of; the separate management channel is not visible to workers.
Across Companies: never. Each business on the Sitech platform is isolated from every other business at the database level - no company can see another company's crew, projects, chat, or location data.
We do not sell your data. We do not share it with advertisers, data brokers, or any third party for their own marketing or analytics purposes. We show no ads in the app.
People your Company shares with: your Company's admins can create a share link for a client or builder that shows selected work records and photos. Anyone the Company gives that link to can see what it includes.
Your Company's own weekly backup: if your Company has asked us to switch it on, once a week Sitech writes a copy of that Company's records into a folder on a Google Drive account the Company itself owns and controls. The copy contains installations, work days, projects, people (names, roles, professions), problem reports and the work photos - it does not contain rates, wages or settlements, and it never contains another Company's data. The folder belongs to your Company, not to Sitech: whoever your Company gives access to that folder can see what is in it, how long it is kept is your Company's decision, and your Company can stop the whole thing at any time by removing our access to the folder. Google stores and processes that copy under its own terms, as the Company's own cloud provider rather than ours.
Service providers: Sitech runs on Supabase (database, authentication, file storage and server functions) and Netlify (hosting for the Sitech web app). Anthropic provides the AI assistance described in Section 2, Capgo delivers updates to the Android app, Firebase Cloud Messaging delivers push notifications on Android, and home.pl hosts the sitechsoftware.com website and its email. These providers process data strictly to make Sitech work - they don't use it for their own purposes. Sitech doesn't use any third-party analytics, advertising or crash-reporting service; the usage and error logs in Section 2 are stored in Sitech's own database.
Data is encrypted in transit (HTTPS/TLS) between the app and our backend. Access to your Company's data is restricted at the database level so that only members of your own Company can query it, and location data specifically cannot be recorded at all unless you've explicitly consented. No system is perfectly secure, and we can't guarantee absolute security, but we design access controls around the principle that your data should only be reachable by people who actually need it for work you're part of.
You (or, for company-wide requests, your Company's admin) can ask us to:
- Access a copy of the personal data we hold about you
- Correct inaccurate data
- Delete your account and associated personal data, subject to any records your employer is
legally required to retain (e.g. timesheet records for tax/employment law purposes)
- Withdraw location-tracking consent at any time (this can also be done directly in the app, under
your profile settings, without contacting us)
Sitech is a workplace tool for employees of trade and construction businesses. It is not directed at children, and we don't knowingly collect data from anyone under the minimum working age in their jurisdiction.
Sitech is operated from Australia. Our service providers (Supabase, Netlify, Anthropic, Capgo and Google) run their services on servers that may be located outside Australia, including in the United States and the European Union, so data may be processed outside the country you're accessing the app from. We only use service providers who are contractually required to protect your data and to process it solely to provide their service to us, and we take steps to ensure this handling is consistent with the Australian Privacy Principles.
If this policy changes, we'll update the "Last updated" date above. For significant changes affecting how we handle your data, we'll aim to notify Company admins directly, who can pass that on to their crew.
